  • Overview

    The Event Services Lead is responsible for facilitating internal and external events on an as needed basis. The Lead works with Museum staff, including the event services team, facilities, security, caterers, and outside vendors to help produce high quality events of all types. This is an on-call and part-time position. Must be able to work evenings and weekends. 

    Responsibilities

    INSTITUTIONAL RESPONSIBILITIES

    POSITION DUTIES AND RESPONSIBILITIES

    • Serve as point person for internal or external client on the day of event
    • Attend or lead client facility walk-throughs as requested
    • As a representative of the museum, engage in some public speaking at events to welcome visitors and introduce the museum
    • Oversee the safe and complete load-in-and-out of furniture and equipment, catering, audio visual equipment, lighting, and décor for events of all types
    • Work with AV Supervisor, AV Technician, and Production Technician to ensure proper and timely set-ups and break-downs
    • Assist Event Services Manager with planning and coordination of rental events, including timelines and diagrams, as needed
    • Turn gallery and facility lights on and off as needed
    • Move, ignite, and adjust propane heaters as needed
    • Monitor weather and facility conditions to make changes as needed
    • Contact custodians before, during, and after events to clean spills, empty trash, and refill bathroom supplies
    • Assist with crowd control, monitor safety and security and report any unsafe or illegal conditions to museum Security Officers.  Participate in emergency and safety training and assist with emergency response.
    • Operate ADA elevator in James Moore Theatre
    • Complete post-event reports, evaluations, and recommendations
    • Attend regularly scheduled meetings
    • Other duties as assigned

    Qualifications

    EXPERIENCE

    A combination of experience and education that demonstrates possession of the necessary knowledge and abilities for this position is required as noted:

    • Ability to display and encourage visitor and internal customer service, take and share responsibility and treat others with respect
    • Minimum 2 years of event planning or hospitality experience required
    • Knowledge and experience in event production, customer service, vendor relationship management, audio visual systems and procedures, food and beverage, and staging
    • Multi-tasker with strong work ethic and professional manner
    • MS Office (Word, Excel), Google Apps

     

    WORK ENVIRONMENT

    While performing the duties of this position, the employee is frequently exposed to the following:

    • Noise, such as groups of people working in enclosed areas
    • Typical office environment
    • Work near moving mechanical parts
    • Outdoor weather conditions
    • Moderate to loud noise
    • Ability to lift up to 25 pounds
